02 — Building a home maintenance binder that actually gets used
The value of a maintenance binder is not the information itself, since most of it could theoretically be found again with enough searching. The value is having it all in one place when you do not have time to search.
Picture two scenarios. In the first, a pipe bursts at 11 PM and you are searching drawers for the manual that tells you which valve is the main water shutoff. In the second, you open a binder to a labeled tab and the answer is there in seconds. The difference between those two scenarios is preparation done once, months in advance, when there was no pressure at all.

- Service the air conditioning system before the first hot stretch, when HVAC technicians are easiest to schedule. Waiting until the first heat wave means competing with everyone else who waited too.
- Test the sump pump by pouring water into the pit and confirming it activates and clears properly, since spring is typically when groundwater and snowmelt put the heaviest demand on it.
Fall shifts the focus entirely toward sealing the home against cold and ensuring the heating system is ready before it is needed.
- Service the furnace before the heating season starts, for the same scheduling reason as spring AC service: book early, before contractors are booked solid by the season's first cold snap.
- Inspect and clean the chimney if you use a fireplace or wood stove. Creosote buildup from the previous season is a leading cause of chimney fires, and this inspection is what catches it before the first fire of the new season.
- Check weatherstripping and door sweeps, replacing anything compressed, cracked, or gapping, and add caulk anywhere a fixed joint has opened up since the last check.
- Insulate any exposed pipes, particularly in unheated spaces like a garage, crawl space, or exterior wall cavity, before the first hard freeze rather than after a pipe has already burst.
- Disconnect garden hoses and shut off exterior spigots from inside, then drain the line by opening the outdoor faucet, leaving it open through winter so any residual water has somewhere to expand without cracking the pipe.
A handful of tasks belong on both checklists regardless of season: testing smoke and CO alarms, checking fire extinguisher charge and expiration, and assessing nearby trees for hazardous limbs that winter wind or summer storms could bring down.
04 — The home emergency map: one page, posted where everyone can see it
The goal is not a polished diagram. It is a map simple enough that a stressed family member, or a babysitter who has never been in your basement, can find what they need without asking anyone.
A home emergency map is a basic floor plan, hand-drawn or typed, marked with the locations that matter most in a fast-moving situation: a fire, a gas leak, a burst pipe, anything where seconds and not having to search both count. The detail level should be just enough to locate things quickly, not an architectural rendering.
- Utility shutoffs: the gas meter and its shutoff valve, the main water shutoff, and the electrical panel. For the main water shutoff specifically, find and test it now, in a calm moment, rather than discovering during a burst pipe that it is rusted shut or that no one in the house knows where it is.
- Fire extinguisher locations, along with smoke and CO alarm locations, so everyone knows where to find an extinguisher quickly and which alarm corresponds to which area of the house.
- Emergency kit and first aid kit locations. If these move around the house, the map becomes inaccurate fast; pick a permanent location for each and stick to it.
- Two escape routes from every room, including bedrooms. A single route is a plan that fails the moment that one path is blocked by fire or smoke. A door and a window, where the window is a viable exit, is the standard minimum.
- The outdoor meeting place. A point everyone heads to immediately after exiting, away from the structure, so a headcount can happen without anyone re-entering the home to look for someone who already got out.
Shutting off the gas
The gas shutoff valve sits on the pipe near the meter and typically requires a wrench, turned a quarter turn. When the valve handle runs parallel to the pipe, gas is flowing; perpendicular to the pipe, it is shut off. Most utility providers recommend that once you shut off gas in an emergency, you do not turn it back on yourself, since relighting pilot lights and checking for leaks safely is a job for the gas company or a qualified technician. If you ever smell gas (often described as rotten eggs), do not flip any light switches, do not light a match, and do not use a cell phone inside the home, since any spark can ignite an active leak. Leave first, then call.
Post the finished map somewhere genuinely visible, not filed away: inside a kitchen cabinet door, on the refrigerator, or another spot every household member passes daily. Walk through it with anyone who regularly spends time in your home, including babysitters, frequent guests, or visiting relatives, so the map is a backup to shared knowledge rather than the only source of it.
05 — Photo and video documentation: the difference between a fair settlement and a lowball one
Insurance adjusters do not take your word for what you owned. Without documentation, a vague description gets valued at the cheapest version of that item, not the one you actually had.
This is worth understanding mechanically, because it changes how seriously a quick walkthrough video gets treated. If a claim lists "toaster" with nothing else attached, an insurer has no basis to assume it was anything other than the least expensive toaster on the market, and will often value it accordingly. If that same entry includes a photo showing a specific model, or even just a clear video walkthrough that captured it sitting on the counter, the gap between what you actually owned and what gets reimbursed closes substantially. This same dynamic compounds across an entire home's worth of belongings, and it is the single biggest reason documented claims settle faster and at fuller value than undocumented ones.
- Walk through every room with your phone and record continuous video, narrating as you go: brand names, approximate purchase dates, anything distinguishing. Narration adds context a silent video cannot, and it costs nothing extra in time.
- Open closets, drawers, and cabinets. A surprising share of household value sits in places a quick walkthrough naturally skips, and these are exactly the contents an insurer will ask about if a total loss occurs.
- Photograph serial numbers on electronics and major appliances specifically, since these numbers are what let an insurer or a manufacturer verify an exact model and current replacement cost rather than estimating.
- Store copies in at least two separate places, and make sure neither is the only copy living inside the home itself. - Update the documentation annually, and immediately after any major purchase such as new furniture, electronics, or appliances. A two-year-old inventory missing a recent renovation or a major purchase leaves exactly the kind of gap that costs money during a real claim.
If you ever need to use it
After an actual loss, do not discard damaged items before the insurer has had a chance to inspect them, even if your instinct is to clean up immediately. Photograph and video the damage itself, from wide shots that show context and close-ups that show specific detail, before any cleanup begins if it is safe to do so. Keep a written, dated log of every conversation with the insurance company, since claims that drag on benefit from a clear timeline of who said what and when.
