Record retention, backup and recovery

Keep records for their actual purpose. Dispose of them securely when that purpose ends. Back up what matters. Prove the backup works.

There is no universal rule

Retention depends on the record

"Keep everything for seven years" is the most common household records myth. In reality, different records have different retention needs based on different governing authorities. Tax records follow IRS rules. Property records follow ownership and tax-basis needs. Warranty records follow the warranty period. Vehicle records follow ownership and title transfer requirements.

Each record category in your records map should carry a retention field that answers four questions: how long to keep it, what rule or purpose governs that period, when to review next, and how to dispose of it when the time comes.

When records expire

Review instead of hoarding

Keeping every piece of paper and every digital file indefinitely creates two problems: it makes the useful records harder to find, and it maintains unnecessary copies of sensitive information in locations that may not be secure.

A periodic review accomplishes more than accumulation. At least once a year, work through your records system to remove duplicates, confirm current versions, identify expired warranties, move closed records to archive where appropriate, dispose of records with no remaining need, and verify that sensitive material is still properly protected.

Secure disposal

Sensitive paper can contain account numbers, signatures, addresses, medical information, tax data, and identity information. Use a disposal method appropriate to the sensitivity. Cross-cut shredding is a common household choice for financial and identity documents. Simply placing readable sensitive documents in ordinary trash exposes the household to unnecessary risk.

Protecting digital files

Back up what matters

CISA warns that without secure backups, device compromise or failure can produce permanent data loss. The FTC similarly advises consumers to create backup copies so information can be recovered after infection, hacking, theft, or loss.

Identify the digital files your household would genuinely miss if a device failed today. Common high-value data includes family photos and videos, household records and scans, tax files, the home inventory, career documents, receipts and warranty files, creative work, contact exports, and any files that exist only on one device.

The separation rule

CISA advises that an external backup drive should not necessarily remain continuously connected because ransomware can sometimes reach connected backups. The practical rule: if the same event can destroy the original and the backup, the household may not really have a useful backup.

Common failures of separation: a backup drive that stays plugged in next to the computer, a phone backup stored only on the phone itself, and files synced to one cloud account with no protection from accidental deletion or account compromise.

An important distinction

Sync and backup are different

A sync service mirrors additions, edits, and deletions across devices. That can be convenient for access, but it may not provide the same recovery capability as an independent backup. If a file is deleted from one device, the deletion may propagate to every connected device.

"It is in the cloud" does not automatically mean "it is backed up." Before treating a cloud service as a backup, check whether it offers version history, deletion recovery, and a retention window that would let you recover a file that was lost days or weeks ago.

Prove it works

Test the restore

A backup that has never been restored is partly an assumption. Testing takes five minutes and converts that assumption into a known fact.

Choose a noncritical test file. A recent photo or a document you have other copies of works well.

Move or delete the local copy from the primary device.

Restore the file from your backup, whether external drive or cloud service.

Open the restored file and confirm it is complete and usable.

Record the date. A periodic restore test, even annually, keeps backup reliability a verified fact.

Backup frequency

Ask: if this device failed today, how much recent work or data could the household tolerate losing? The answer determines a practical backup frequency. A household generating daily photos and work files needs more frequent backups than one where files change monthly. There is no single universal schedule.

Next

Protect the accounts

Records and backups protect the household's information. The next step is protecting the accounts that control access to that information: email, banking, cloud storage, and every service the household depends on.
